Front Office Administrative Assistant / Customer Service Representative 2015

We are seeking a hardworking, experienced professional to serve as Front Office Administrative Assistant / Customer Service Representative with RAM Enterprise, Inc. This position will be located in the Elko service center.


Summary: The Customer Service Representative is responsible for providing customer quotes, assisting with customer inquiries, facilitating sales and ordering goods from manufacturers. The Administrative Assistant is responsible for supporting the facility staff in day to day operations.


Essential Duties and Responsibilities include, but aren’t limited to:

  • Promote safety as the company’s number one priority
  • Support, promote, and participate in the PDQ (People Determine Quality) and SPADE (Safe People Always Determine Excellence) programs
  • Maintain confidentiality in all aspects of client, staff and company information
  • Provide phone support in a busy office environment with multi-line system, assisting caller personally or routing caller to appropriate person
  • Interact with customers, vendors and walk-in visitors
  • Perform general clerical duties including, but not limited to, copying, faxing, mailing, and filing
  • Sort and distribute correspondence (including faxes and email) for Elko branch, and Imtech
  • Oversee all aspects of general office coordination
  • Collect and maintain inventory of office equipment and supplies
  • Assist Safety Department with data entry, tracking and records maintenance
  • Provide document control support for projects as needed
  • Provide support for various departments/divisions as needed
  • Effectively manage and track multiple projects
  • Have a clear understanding of all the products and services we offer
  • Be familiar with our customer base
  • Respond to customer inquiries and problem solving in a professional and effective fashion
  • Act as a resource in resolving customer issues by utilizing excellent company process knowledge and strong skills in negotiating and selling
  • Possess excellent grammatical, spelling and punctuation skills
  • Document competitive pricing and purchasing behaviors/habits based on customer relationships
  • Conduct thorough research on past orders to ensure consistency on new inquiries
  • Obtain quotes from vendors
  • Enter jobs into accounting software (Sage)
  • Enter purchase orders for a variety of goods and services
  • Have a clear understanding of profit margins and how they affect the company
  • Conduct company business in a variety of local settings, including post office, UPS, etc.
  • Other responsibilities as assigned by leadership



  • Possess a valid driver’s license
  • Professional level communication skills, with the ability to understand, read, and write the English language
  • 3 years minimum experience in a customer service or office management environment
  • Intermediate computer skills with Microsoft Suite
  • Ability to work as part of a team as well as independently with little supervision
  • Ability to operate standard office equipment, including but not limited to, computers, printers, fax, telephone systems, calculators, and copiers
  • Demonstrated ability to manage daily activities to produce quality work product within tight time frames
  • Working conditions are normal for an office environment
  • Work may require occasional weekend and/or evening work
  • Comply with all policies and procedures in Employee Handbook

  • Regular office environment expectations
    • Sitting at least 80%
    • Standing, walking, and bending at least 10%
  • Infrequent travel to job sites may be required. In those circumstances there are the following industrial environment expectations:
    • The environment may include minimal exposure to hazards typical of an industrial job site
    • Personal protective equipment is required when on job sites, including hard hat, hearing protection, safety glasses, safety footwear and – as needed- respirator, gloves and other required protective equipment as needed.
